Independent trust companies

Active

Non-depository trust companies act as trustee, custodian, and estate or account administrator for families, retirement plans, and institutions without taking deposits or making loans. They hold a state trust charter or an OCC national trust bank charter and earn fees on the assets they administer.

Workflows to evaluate

Our proposed starting points. Results are not verified.

  • Annual account review preparation

Assemble each discretionary account’s holdings, distributions and governing terms into a review packet.

    Inputs to confirm
Account records, trust instruments and the firm’s review checklist.
    Human review
The trust officer completes the review and signs off.
    Measure
Reviews completed on time and items the officer adds after the draft.

Why: The brief cites the rule that discretionary accounts get a full review every year. Where AI changes the cost base →

  • Trust instrument abstracts

Extract distribution standards, powers and parties from trust instruments.

    Inputs to confirm
    Trust instruments and amendments.
    Human review
The trust officer verifies the abstract and keeps every discretionary decision.
    Measure
Time to a verified abstract and corrections per instrument.

Why: The brief places trust administration labor in reading instruments and preparing reviews. Where AI changes the cost base →

Where AI changes the cost base

AI operating leverage: High. Salaries are the largest expense and much of the work is reading documents and applying fiduciary rules. Our view

  • Labor is the main cost. The FDIC says salaries are likely the largest direct expense in most trust operations.

  • Rules require recurring account reviews. A national trust bank must review all assets of each fiduciary account where it has investment discretion at least once every calendar year.

  • Trust administration is document heavy. Staff read trust instruments, process distribution requests, prepare fiduciary tax filings, run KYC and AML onboarding, and write account review memos, and much of this can be drafted or checked by software.

    Our view

  • Discretionary decisions carry personal fiduciary liability, so a trust officer must still review and sign off. The gain is in faster preparation and checking, not in removing the officer.
