Patient scheduling
Convert appointment requests into valid bookings without creating conflicts or unfilled chair time.
1. Available solutions
Candidate options from vendor documentation, reviewed 2026-10-21. Availability is not a MigrateForce integration or an endorsement. Confirm pricing and system fit.
| Solution | Documented capability | Where to evaluate it | Confirm before purchase |
|---|---|---|---|
| NexHealth Scheduling ↗Buy | Online booking links, including location-specific links. | Evaluate when practices need a patient booking interface. | Confirm the exact system/version, appointment rules, write-back behavior, support, and commercial quote. |
| Open Dental appointment API ↗Integrate | Documented appointment reads, slot queries, creation, and updates. | Evaluate for practices using Open Dental with authorized API access. | Confirm permissions, deployed version, concurrency behavior, and who supports the integration. |
2. Buy, integrate, or build
Starting recommendation: Buy scheduling software first. Integrate when the existing booking rules or practice-management system require a separate orchestration layer.
When to build: Build only the missing orchestration after a pilot proves that supported products cannot handle the required appointment rules at an acceptable total cost.
AI’s role: AI may classify requests or assist staff. Availability, appointment duration, provider rules, and booking confirmation must come from the scheduling system.
This is a starting hypothesis. Record your selected option, rejected alternatives, full cost, and rationale in a company case.
3. Evidence and transferability
The reviewed sources establish scheduling capabilities. No quantified operating improvement is adopted as a transferable benchmark.
Test the fit: Compare appointment mix, provider availability, no-show policy, staffing, and system version. A booking feature does not establish better chair utilization.
4. Readiness requirements
- Practice-management system and version confirmed; appointment types, providers, operatories, and durations mapped.
- Authorized read access to availability and separately approved booking writes.
- Named scheduling owner; duplicate handling, cancellation rules, and staff fallback documented.
- Baseline booking volume, staff time, no-shows, and schedule conflicts recorded.
5. Implementation playbook
An operating plan for your team and vendor. These steps do not imply that MigrateForce has a deployed dental connector or migration adapter.
| Step | Accountable role | Acceptance evidence | Stop or recovery condition |
|---|---|---|---|
| 1. Map booking rules and baseline | Practice manager | Approved appointment-type map and dated baseline export. | Stop if rules differ across sites without a documented exception. |
| 2. Compare product quotes and test coverage | Operations lead | Written scope, full cost, supported system/version, and pilot acceptance criteria. | Stop if required write-back is unsupported. |
| 3. Run a limited scheduling pilot | Scheduling lead | Test bookings, concurrency checks, cancellations, and reconciliation results. | Stop on duplicate or conflicting bookings. |
| 4. Approve rollout and fallback | Operations owner | Signed rollout scope, staff training, disable procedure, and reconciled appointment ledger. | Disable new automated bookings if reconciliation fails. |
| 5. Measure adoption and operating change | Finance and practice manager | Comparable booking-time samples, volumes, quality checks, and actual costs. | Do not count freed time as cash savings without a staffing or spend change. |
6. Realized results
Primary measure: Staff minutes per completed booking (minutes/booking).
No company result is supplied here. A private case records baseline and actual observations, sources, periods, adoption, quality, actual costs, and attribution limits.
Compare like-for-like practice conditions. A calculated change is not proof of causality or a verified financial benefit.
